An email broadcast is a single email sent to a large group of contacts at the exact same time. Unlike a one-on-one email, a broadcast lets you reach your entire audience (or a specific segment of it) with one message. Businesses use broadcasts to share promotions, newsletters, product updates, and announcements.
With the Deal.ai Easy CRM, configuring and sending a broadcast is straightforward and fast. Here is how to set it up.
1. Connect Your Deal.ai Email Sending Account
Before sending a broadcast, you need to connect a dedicated email sending service to your Deal.ai workspace. Go to your Deal.ai Integrations page and add one of the following:
SendGrid (Recommended): Log in to your external SendGrid account, go to Settings > API Keys, and click Create API Key. Give it full access, copy the generated key, and paste it into your Deal.ai Integrations page.
Mailgun: Follow the exact same process inside your external Mailgun dashboard under Settings > API Keys to link it to Deal.ai.
SMTP: Enter your SMTP server credentials manually into Deal.ai, including your specific host, port, username, and password.
2. Add Your Business Address in Deal.ai
Anti-spam email regulations legally require all broadcast emails to include a valid, physical business address.
Go to your main Deal.ai Account Settings page.
Enter your official business address.
The Deal.ai system will automatically place this address into the footer of every broadcast you send to stay compliant!
3. Open the Broadcast Tab in Deal.ai Easy CRM
Once your sending account and address are configured, you are ready to start drafting your message.
Navigate to the Easy CRM app from your main Deal.ai dashboard.
Click on the Broadcast tab located in the navigation menu.
4. Set Up Your Deal.ai Broadcast
Follow these steps to properly configure your email campaign inside the Deal.ai builder:
Title: Enter an internal title for the broadcast. This is for your reference only and will not be visible to your Deal.ai contacts.
Select Your Lists: Choose one or more contact lists you want to send the broadcast to.
Select Your Sending Account: From the dropdown menu, select the SendGrid, Mailgun, or SMTP account you connected in Step 1.
Select a Verified Sender: Choose the verified sender email address you want your contacts to see in the "From" field.
Subject Line: Write a clear and compelling subject line that encourages your contacts to open the email.
Email Body: Type and format the actual content of your email in the body field.
5. Schedule or Send Your Deal.ai Email
The final step is to decide exactly when your audience should receive the message.
When you are completely happy with your Deal.ai broadcast draft, click Next.
You will then have the option to either Schedule the email for a specific date and time in the future, or Send it immediately to your selected Deal.ai contact lists.
